Presentation Software for Business Teams, Compared
Pick Microsoft PowerPoint if your team sends decks to clients and needs files everyone can open, and Google Slides if the team lives in Google Workspace and co-edits live. This page compares seven presentation software options on price, brand control, AI and PowerPoint output, from each vendor's own pages.
Disclosure: Oria publishes this page and makes an AI add-in for Microsoft PowerPoint, one of the tools compared here.
Choosing presentation software for a business team is a decision about the file, not the editor. Who else has to open it, edit it and trust it? A deck that only the author ever touches can live in any tool. A deck that passes through a manager, a client and a compliance reviewer needs a format everyone already has, a way to hold the brand steady, and a clear answer on where the content goes.
The seven tools below cover the realistic field: the two default suites, one design platform, and four AI-first options. Each entry carries a one-line verdict, a trade-off, and only the numbers we could read on the vendor's own page. Where a page refused our fetch, we say so rather than quote a third party.
Quick answer: which presentation software fits your team?
Start with PowerPoint or Google Slides, because that is where your colleagues already are. Move to Canva, Pitch, Beautiful.ai or Gamma when visual quality or brand control matters more than file compatibility. Choose Oria when the output is a board pack, steering committee deck or diligence exhibit that must sit on an exact corporate template.
In short: the best presentation software for business teams depends on the deck. For everyday internal and client decks, Microsoft PowerPoint and Google Slides cover the widest range, and both now offer AI assistance on selected plans. For visual work such as launches, campaigns and fundraising, a design-led tool will look better. For dense consulting-grade material on a strict template, a PowerPoint-native tool is the closer fit. Check security documentation with any vendor before sending confidential content.
How we chose these presentation tools
Team use, not solo use. Each tool had to offer shared work: co-editing, team plans, or a shared brand layer. Single-user novelty apps are out.
Vendor pages only. Every price and feature below comes from a vendor page opened on October 28, 2026 and listed under Sources. Canva and Gamma blocked our automated fetch, so we quote no numbers for them.
File portability. Whether the deck can leave the tool as an editable PowerPoint file, since that is what clients and reviewers usually ask for.
Brand and template control. Whether the tool can hold a corporate template or brand kit across slides and across people.
What we ignored. User-review scores, template counts, animation and stock imagery. This page carries no scores, stars or rankings of its own. The order below is by breadth of fit for a general business team.
Key takeaways
- Start where your colleagues are. PowerPoint and Google Slides remove the file-compatibility question, and a deck that opens for everyone beats a prettier deck that does not.
- AI is sold three ways. Google bundles Gemini in Slides into its Standard and Plus Workspace plans. Pitch and Oria meter AI in credits or tokens. Beautiful.ai lists unlimited AI content generation on its paid seats.
- Brand control is a different feature from design quality. Pitch, Beautiful.ai and Canva sell brand layers. PowerPoint with an organization template, and Oria, hold an uploaded corporate master.
- Export is not equal. Several tools export to PowerPoint, but each documents or implies losses. Test one real deck end to end before you standardise.
- Design-led tools beat corporate-template tools on visual decks, and the reverse holds for board-grade content. Match the tool to the deck, not the team.
Presentation software side by side
One row per tool, in the order of the sections below. Prices are quoted only where we opened the vendor's page on October 28, 2026.
| Tool | Best suited to | Price we could confirm | Watch for |
|---|---|---|---|
| Microsoft PowerPoint | Client decks and any file that must open everywhere | Not quoted. Microsoft's Copilot page names no licence tier. | Copilot availability depends on your tenant's licence. |
| Google Slides | Teams co-editing live inside Google Workspace | Workspace Starter 7, Standard 14, Plus 22 dollars per user a month (Google). | Gemini in Slides is not on Starter. |
| Canva | Visual, on-brand decks by non-designers | Not quoted. Canva's pricing page blocked our fetch. | Not built around an uploaded corporate master. |
| Oria | Consulting-grade decks on an enforced corporate template | Starter 19, Professional 59, Team 399 dollars a month (Oria pricing). | Loses on highly visual, fundraising and launch decks. |
| Pitch | Collaborative decks with brand roles and engagement tracking | Team 15, Business 20 euros per member a month, billed yearly (Pitch). | Plus plan PowerPoint export is stated inconsistently. |
| Beautiful.ai | Consistent layouts that adjust as content grows | Pro 14.50 dollars a month annually; Team 40 per user annually (Beautiful.ai). | Seat terms on the Team card are unclear. |
| Gamma | Fast first drafts from a prompt | Not quoted. Gamma's pricing and help pages blocked our fetch. | AI use is metered in credits; exports need a cleanup pass. |

Is Microsoft PowerPoint the right presentation software for your team?
PowerPoint is the default for a reason: the .pptx file is the format clients, boards and reviewers expect, and almost every other tool on this page either exports to it or tries to. For teams that send decks outside the company, that portability is the feature.
The AI layer is Copilot. Microsoft's support page says Copilot can build a presentation from a prompt, or from a Word document, and recommends Word Styles to help it split the document into slides. It also says that starting from your organization's template tells Copilot to keep the theme and design and build from the template's existing layouts, and that it can apply a Brand Kit if your organization requires one. The page does not name the Copilot licence tier, and says Copilot may be missing from your subscription or switched off by your organization's settings, so confirm what your tenant holds before planning around it.
Verdict: the safe pick for any team that sends decks to people outside its own walls.
The trade-off: the blank-slide experience is manual, and AI help depends on a licence your organization has to buy and enable.
Is Google Slides the right presentation software for your team?
Google Slides is the lowest-friction choice for a team already on Workspace. Google's pricing page lists Slides in all three Business plans: Starter at 7 dollars, Standard at 14 dollars and Plus at 22 dollars per user per month, excluding tax, billed monthly. The page also shows a 50 percent promotional price running from November 11, 2026 to February 11, 2027.
The AI detail matters when you buy. The same page states that Gemini in Slides is not supported on Starter and is available on Standard and Plus. A team that buys the cheapest tier expecting AI slide help will not get it.
Verdict: best for internal decks and fast co-editing among people who already share a Google account.
The trade-off: it is not the closest fit for dense, template-bound client material, where teams tend to return to PowerPoint.
Is Canva the right presentation software for your team?
Canva is a design platform first and a presentation tool second, and that is its strength. Marketing, sales and operations teams can produce an on-brand, visual deck without a designer, using shared brand assets and templates.
We could not open Canva's pricing or help pages, because both returned an access error to our fetch, so this page quotes no Canva prices or plan limits. Check canva.com/pricing for current plans. Third-party price lists conflict on Canva's team plans, and we would not rely on them.
Verdict: pick it when the deck is visual, the author is not a designer, and the brand lives in Canva already.
The trade-off: it is not built around an uploaded corporate PowerPoint master, so dense finance and consulting slides fit less naturally.
Is Oria the right presentation software for your team?
Oria is built for corporate documents and consulting presentations: board packs, steering committee decks, diligence exhibits, operating-model slides and dense frameworks held to an enforced corporate template. It reaches you in two ways: as a PowerPoint add-in on Windows, macOS and the web, and as a connector for Claude and ChatGPT over MCP, so a deck can be built from the chat you already use. Setup is in our Claude and ChatGPT install guide.
Oria's pricing page lists Starter at 19 dollars a month for 60 tokens, Professional at 59 dollars for 200 tokens, and Team at 399 dollars for a shared pool of 1,200 tokens for up to 50 accounts, excluding VAT. Professional and Team list no model training by Oria and zero data retention. Enterprise is quoted and adds private cloud deployment and custom LLM integration.
Verdict: pick it when the output is a defensible corporate deck on an exact template and you want it built inside PowerPoint or from Claude or ChatGPT.
The trade-off: because Oria is built for the corporate environment only, it loses on highly visual work such as founder fundraising decks, launch and campaign decks, student presentations and marketing one-pagers. A design-led tool will look better there.
Is Pitch the right presentation software for your team?
Pitch is a collaborative deck tool with team roles and engagement analytics. Its pricing page lists prices per member per month, billed yearly: Free at zero for 1 to 5 seats, Plus at 10 euros for one seat, Team at 15 euros for 1 to 25 seats, and Business at 20 euros for 1 to 200 seats. Enterprise is custom and adds SAML-based SSO and SCIM.
Team adds 25 external guests, three teamspaces, 30-day version history and 25 advanced links that track visits, slide views and time spent. Business lifts those to unlimited. AI is credit-based: 100 non-renewing credits on Free, and 500, 500 and 750 a month on Plus, Team and Business, shared across the team. The page is inconsistent on Plus PowerPoint export, with the description saying yes and the comparison grid showing a dash, so verify before relying on it.
Verdict: a good fit for sales and client-facing teams that want to see how a shared deck is read.
The trade-off: free exports carry Pitch branding, and a strict corporate master is not its starting point.
Is Beautiful.ai the right presentation software for your team?
Beautiful.ai is built around Smart Slides that adjust spacing and alignment as content changes. Its pricing page lists Pro at 14.50 dollars a month billed annually, with over 300 Smart Slide layouts, unlimited AI content generation, and custom branding and themes. Team costs 40 dollars per user a month billed annually, or 50 dollars billed monthly, and adds real-time editing, a shared slide and template library, version control with locked slides and live data linking.
The page says every seat includes PowerPoint import and export. It also contradicts itself on Team seats, showing both three included users and a 2 to 20 range, so confirm minimums at purchase. For a closer comparison, see our Oria and Beautiful.ai head-to-head.
Verdict: right for teams that want every slide to stay consistent without a designer policing it.
The trade-off: you work inside its layout system, not a free-form canvas or an uploaded corporate master.
Is Gamma the right presentation software for your team?
Gamma generates a deck, document or web-style page from a prompt, then lets you refine it with an AI agent or by hand. It is the fastest route from nothing to a draft on this list. We could not open Gamma's pricing page for this update, so we quote no Gamma prices. Our earlier, sourced write-up covers its credit system and PPTX export limits in Gamma versus Beautiful.ai, and the wider question of when it is the wrong call is in this guide to Gamma alternatives for consulting decks.
Verdict: pick it for first drafts, pitches and web-style pages where speed beats polish.
The trade-off: AI use is metered in credits, and exports usually need a cleanup pass in PowerPoint before a client sees them.
Which presentation software for which deck?
| If you need | Go to |
|---|---|
| A deck every client can open and edit | Microsoft PowerPoint. |
| Live co-editing in a Google-based company | Google Slides on Standard or Plus if you want Gemini in Slides. |
| A visual, on-brand deck from a non-designer | Canva, or Beautiful.ai if you want layouts that self-adjust. |
| A fundraising, launch or student deck | Gamma, Canva, Pitch or Beautiful.ai. A design-led tool beats Oria on visual work. |
| To see who read the deck and for how long | Pitch Team or Business, which list advanced tracking links. |
| A board pack or diligence exhibit on an exact template | Oria, in PowerPoint or through Claude and ChatGPT. |
| A wider view of AI inside PowerPoint | Best AI for PowerPoint |
| Copilot against Claude for business decks | Claude vs Copilot for business presentations |
Frequently asked questions
What is the best presentation software for business teams?
There is no single best. Microsoft PowerPoint is the safest default because almost every client and colleague can open the file. Google Slides suits teams that live in Google Workspace and co-edit live. Canva, Pitch, Beautiful.ai and Gamma suit teams that value design speed or brand control. Oria suits corporate and consulting decks on a strict template. Pick on the deck's audience and the file's life after you send it.
Is Google Slides good enough for business presentations?
For most internal decks, yes. Google's Workspace pricing page lists Slides in all three Business plans, from 7 dollars per user a month on Starter. It also states that Gemini in Slides is available on Standard and Plus but not on Starter. Dense, template-bound client material is where teams usually go back to PowerPoint.
Does Microsoft Copilot work with a company template in PowerPoint?
Microsoft's support page says that starting from your organization's template tells Copilot to keep its theme and design, and that Copilot builds the deck from the template's existing layouts. It can also apply a Brand Kit if your organization requires one. The page does not name a licence tier, so check which Copilot licence your tenant holds.
How much does Pitch cost for a team?
Pitch's pricing page lists Team at 15 euros per member a month and Business at 20 euros per member a month, both billed yearly. Plus is 10 euros for a single seat. Free covers 1 to 5 seats with 100 AI credits that do not renew. Business adds unlimited guests, teamspaces and version history. Prices are as listed on October 28, 2026.
Can these tools export to PowerPoint?
Mostly. Beautiful.ai's pricing page lists PowerPoint import and export for its paid seats. Pitch lists PowerPoint export on its paid plans, though its comparison table and plan text disagree on Plus, so confirm before buying. Gamma documents a PPTX export with known losses in its help center. Oria produces native editable PowerPoint output. Canva and Google Slides both have their own export paths; test one deck before you commit.
Which presentation software is best for confidential client decks?
Judge it on what the vendor publishes, then ask for the current report. Oria's pricing page lists no model training by Oria and zero data retention on Professional and Team, with private cloud deployment on Enterprise. Beautiful.ai publishes a SOC 2 Type II statement on its security page. For Microsoft, Google, Canva, Pitch and Gamma, request the vendor's current security documentation before sending client material.
Which tool should a consulting or finance team choose?
Teams producing board packs, steering committee decks and diligence exhibits usually need native, editable slides on an enforced template. That points to PowerPoint itself, with Copilot or Oria on top. Design-led tools like Gamma, Canva and Beautiful.ai fit visual decks better and are the right call for launches, fundraising and campaigns.
